Customer terms

These terms apply when a business (you) uses Matrix, an online service provided by Imagineering Studios (we, us). By creating an account or using Matrix you agree to them on behalf of your business. If you don't have authority to bind the business, don't accept them.

1. The service

Matrix is online software for accounting, customer relationship management and planning. We may improve and change the service over time. If we remove a feature your plan depends on, we will tell you in advance.

2. Your account

• An account belongs to your business. It may keep the books of one or more businesses.
• The person who creates the account is its owner and controls who else has access.
• You're responsible for everything done by people you invite, and for keeping sign-in details secure. We strongly recommend passkeys or multi-factor sign-in.
• Tell us promptly if you believe someone has accessed your account without permission.

3. Plans, trials and billing

• Matrix is priced per business. Each set of books has its own subscription; the number of users is not charged for.
• Each new business starts with a free trial. No payment is taken during the trial.
• After the trial, subscriptions are billed in advance, monthly or annually, to the card on file, through our payment provider. Australian prices include GST; you receive a tax invoice for every charge.
• If a payment fails, we'll let you know and give you a chance to update your card. If an amount remains unpaid, we may restrict the account to billing, export and support until it is paid.
• You can change plan or cadence at any time; changes take effect at your next renewal.
• We may change prices with at least 30 days' notice. A change applies from your next renewal after the notice period, never to a period you have already paid for.

Not-for-profit pricing

Charities registered with the ACNC and incorporated not-for-profit organisations may apply for a 50% discount on their subscription. An application must give the organisation's name, ABN and website. We decide applications at our discretion, may ask for evidence, and will email you the outcome. An approved discount applies from the next charge after approval and isn't applied to charges already raised. You must tell us if your organisation stops being eligible; we may withdraw the discount from the next charge if it is, with notice.

4. Cancelling

You can cancel a business's subscription at any time from Account settings. It won't renew, and you keep access until the end of the period you've paid for. We don't refund partial periods except where the law requires it. You can resume a cancelled subscription.

5. Your data

• The information you put into Matrix is yours. We use it only to provide, secure and support the service, and as described in our privacy policy.
• You can export your data at any time while your account is active.
• Your financial records are stored in Australia.
• After an account closes, we keep records for the period the law requires and then delete them. Ask us before closing if you need an export.

6. Acceptable use

You agree not to:

• use Matrix for anything unlawful, including fraud, money laundering or tax evasion;
• try to access another customer's data, or probe, scan or overload the service;
• send spam or harmful content through features that send email on your behalf;
• resell or share the service outside your business without our written agreement.

7. Your responsibilities for the books

Matrix helps you keep accurate records and prepare returns, but it isn't tax, legal or financial advice. You remain responsible for the accuracy of what you record and lodge. Talk to your accountant or a registered tax agent about your obligations.

8. Availability and support

We work to keep Matrix available and secure, and we'll give notice of planned maintenance where we can. Support is available by email through our contact page.

9. Liability

Nothing in these terms excludes rights you have under the Australian Consumer Law that can't be excluded. To the extent the law allows, our total liability to you for any claim relating to Matrix is limited to the fees you paid us for the affected business in the twelve months before the claim, and we're not liable for indirect or consequential loss.

10. Changes to these terms

We may update these terms. We'll tell account owners by email at least 30 days before a material change takes effect. Continuing to use Matrix after that date means you accept the updated terms.

11. General

These terms are governed by the laws of Victoria, Australia, and the courts of Victoria have jurisdiction. If any part is found unenforceable, the rest continues to apply.
